GENERAL TERMS
• Should your venue be situated more than 100km from Durban, we would require accommodation at the venue for both the DJ & assistant. Accommodation provided is to be of 3 stars or equivalent.
• We are available to meet with the Bride & groom during our office hours which are 08h00 – 15h00, Monday to Thursday. No meetings will be conducted on Saturdays or Sundays or Public Holidays.
• All bookings will only be confirmed once we receive our DJ Packages document signed and received along with proof of payment. If no DJ Packages document is received, but a booking Fee has been paid, we assume you have read through our terms and documents and hereby agree to these terms.
• KZN Wedding DJ, his employees or any person employed at a function will not accept responsibility and will not be held liable for any loss, damage, or injury to persons or property, of the client or associated with the client due to negligence or any other cause whatsoever. While every precaution will be taken to ensure the safeguarding of your belongings, KZN Wedding DJ will not be liable for loss, theft or damage to any property whatsoever (décor, gifts, valuables, etc)
• KZN Wedding DJ reserve the right to limit hours after midnight to 02h00. This can be discussed by prior to or on the night. All hours to be paid in cash/Zapper before the hour is rendered.
After-Midnight Hours are charged at R2000.00 per hour or R1500.00 if Pre-booked. Pre-booked hours are non-refundable and form part of your package.
SOUND AND LIABILITY
• Should a member attending the function or anyone, directly or indirectly, associated with the function, damage with or without intent, the DJ’s equipment, the client will be liable for the cost of these repairs or replacement.
• For an outdoor event, a guest list greater than 110 PAX & up to 200 Pax or certain large venues in KZN there will be an additional charge of R950.00 for additional PA. Payment will be included upon confirmation of your function.
• Should we be supplying Sound equipment for a band/singer, KZN Wedding DJ reserve the right to charge a minimum fee of R950.00 for extra gear
• Should any equipment be damaged, lost or stolen due to the above mentioned, or any other reasons, the client may not claim non-rendering of services and will be held liable for the repair or replacement of such equipment.
• We reserve the right to cease all sound operation if power supply outlets do not meet our minimum requirements. this is to safeguard you, the client for any further damages to our sound equipment.
Should you require your DJ to be available and set up sound for a rehearsal of your Wedding Ceremony, a fee of R3000.00 is due.
COPYRIGHT & IMAGES
• KZN Wedding DJ reserves the right to take footage (still photographs and/or video footage) of any function that we are involved in, be it directly or indirectly, and reserves the right to use such material for advertising purposes (Our website – www.kznweddingdj.co.za & Facebook Page). These Photographs will be edited & put onto a Dropbox Link and sent to you within 14 working Days. These Photos include our Branding.
• A Blog of these photos is put onto our website for you to share with your friends – Follow the link https://www.kznweddingdj.co.za/blog
The client hereby waives copyright to such material.
• “FREE Professional Photos” included in all Wedding packages is limited to Decor, Dance floor and venue and of course the guests. KZN Wedding DJ reserves the right to limit the number of images loaded onto our Dropbox Account for you to access. These Images will have our logo on. This service does not replace/constitute as “Official Photographer” It is the responsibility of the Bride & Groom to Book their own Professional Photographer. Should you prefer a CD with these images, a fee of R250.00 will be charged.
• Should no images be taken at your Wedding, this service cannot be exchanged for cash or any form of remuneration.
ABUSE
• Should any member attending the function abuse the DJ in any way, be it physical, verbal and/or other, he/she reserves the right to and may decide to immediately cease the rendering of services. This is for the safety of all concerned.
• Should any of the DJ’s equipment be in danger at any point for whatever reason, he/she again reserves the right to and may decide to cease or alter the rendering of services. This is due to the fact that the client is responsible for all equipment on site. The entertainer is to offer his/her professional opinion hereon.
• Should the abuse clause be required, the entertainer has the right to claim remuneration. He/she is entitled to claim for the actual number of hours worked or the minimum number of hours (whichever is greater) plus any additional expenses incurred (transport, accommodation or other).
• Please note that this is only a last resort, as the entertainer will be required to explore all other available avenues before a decision is made to implement the clause. We are concerned about you, the client, just as much as our staff.
Mishaps and “Acts of God”
• Our equipment is maintained to our standards and serviced as required. As with any electronic equipment, occasionally problems occur. Should a problem occur with the equipment, the best attempt will be made by the entertainer to replace or make do with this or other equipment. Should all attempts fail, we cannot be held liable for the failure of the function. Payment to that point will still need to be rendered.
• Please Note that power failures or scheduled Load Shedding procedures do not entitle the client to claim non-rendering of services. The DJ is NOT responsible for electrical failures or load shedding at the respective Venue.
TRAVEL & ACCOMMODATION
Travel within the greater Durban area is free (as far as Kloof/Hillcrest/Bothas Hill, Umhlanga, Toti). We do not charge per km but a fixed rate per zone. Please enquire if you are not within the zones below:
PLEASE NOTE:: These prices only apply if NO TRAVEL FEES were indicated in your Packages which were sent to you when booking.
Zone 1 – Ballito/Selborne/PMB – R650
Zone 2 – Midlands/Port Edward/Tinley Manor – R1000 (accommodation to be booked at the venue. If accommodation is not booked by the client - a fee of R1200.00 will be charged) for the DJ & Assistant.
Zone 3 – Berg/Hluhluwe – R2500 (accommodation required at the venue)
Should the venue be more than Three (3) hours driving time from Durban, the DJ & assistant will require 2 nights accommodation (the Night before & the Night of). KZN Wedding DJ cannot be held responsible for any delays due to traffic/act of god if this clause is not adhered to.
Should you wish your DJ to meet you at the venue for a meeting prior to your booked Wedding/Function date: the following fees will be added to your invoice:
KZN Midlands / Port Shepstone – R1200.00
Ballito/Salt Rock – R750.00
Durban meetings are free of charge (limited to one meeting only)
ACCOMMODATION DUE TO CURFEW
• Its is the responsibility of the client to book accommodation for the DJ and assistant if any curfews / laws set by the South African government are in place.
• Should no accommodation be provided at the venue, the DJ/ Photobooth operator reserve the right to begin a breakdown of the Sound/ Photobooth equipment in order to accommodate travel times before curfew is reached.
Please discuss this with the DJ / Photobooth Operator.
CANCELLATIONS - PLEASE READ CAREFULLY
PAYMENT TERMS
A booking Fee is required in order to confirm your function. No Function is “confirmed” until this clears in our account. This fee is set out in your Packages document
All invoices must be paid in full before any function/event is rendered.
Balance payments are to be paid 7 working days prior to your Wedding or Event Date.
Cancellations after a DJ booking has been confirmed:
A Booking fee is required to book your Wedding DJ. - This fee is indicated in your booking Packages document. This Booking Fee is non-refundable
If Function is posted or cancelled, you, the client will be liable for a portion of the agreed fee as set out below (See Cancellation Terms below), KZN Wedding DJ reserve the right to charge a cancellation Fee as described below.
: If a function is cancelled 6 months or more prior to the confirmed function date, 20% cancellation fee of the total account (as per the original quote) is due is payable.
:: If a function is cancelled 5 months prior to the confirmed function date, 30% cancellation fee of the total account (as per the original quote) is due and payable.
: If a function is cancelled 4 months prior to the confirmed function date, 40% cancellation fee of the total account (as per the original quote) is due and payable.
: If a function is cancelled 3 months prior to the confirmed function date, 50% cancellation fee of the total account (as per the original quote) is due and payable.
: If a function is cancelled 2 months prior to the confirmed function date, 75% cancellation fee of the total account (as per the original quote) is due and payable.
: If a function is cancelled 1 month prior to the confirmed function date, 100% cancellation fee of the total account is payable (as per original quote) is due and payable immediately. The client must confirm all changes and cancellations in writing.
• Your cancellation will only be confirmed once your balance due has been settled. Proof of payment is required.
• Should you, the client booked a DJ & PHOTOBOOTH Package, a cancellation fee will be charged for BOTH services.
Dates & Venues are not transferable – a new Quotation & Booking Fee would be required in order to secure our services for a new venue or date.
PHOTOBOOTH & DJ COMBO
• In the event you have booked a DJ & PHOTOBOOTH Combo and wish to cancel the Photobooth only, a R1000 cancellation fee will be charged
Cancellations due to the Disaster Management Act (Covid19 Included)
• In the event of a national disaster preventing your function to go ahead, I will endeavor to postpone your function to a date I am available on. If we cannot agree on a future date we are all available on, the Booking Fee paid will be considered a cancellation fee and will not be refundable.
If the event is cancelled completely, the booking fee paid will be considered a cancellation fee and will not be refundable.
• The client has the option of postponing their Wedding or Event to a further date. The booking fee is held for up to 12 months. During this time, the client has ONE (1) Penalty Free transfer of date thereafter any changes in dates require the client to rebook and pay a new booking fee.
• We reserve the right to an increase in fees due to annual increases or a different scope of work.
• Should you wish to cancel your event and not opt for a postponement, your Booking Fee will be forfeited.
• This clause is only applicable as per hard-lockdown disaster management regulations.
BEACH/FOREST WEDDINGS
• We reserve the right to charge an additional Fee for beach and/or forest Weddings. a Battery operated PA System is required for venues without power. A fee of R950.00 will be added to your final invoice for Beach/Forest Ceremonies.
• You’re Wedding Program & music selection will need to be sent to us 1 (one) week in advance. We cannot guarantee any last minute changes. All changes need to be sent to us via email only in order for these changes to be made.
• All bookings must be paid in Full prior to the event. A booking Fee as indicated on your quote applies to all bookings. Any extra hours must be paid for in cash, on the day/night of the event before any services will be rendered.
• A booking fee is required to secure your date. Should you, the client decide to change venues, a new quotation would be required to sign and confirm the venue change. We reserve the right to change our package options and further reserve the right to charge additional fees pertaining to certain venues (Bush Weddings etc). Please discuss this with the DJ.
• In the event that the DJ has to setup his equipment ahead of the scheduled setup time due to venue regulations or any other reason, we hereby reserve the right to charge the “Hourly before midnight” rate for the specified amount of hours prior to the start of your Wedding/Event.
• Please ensure that all outstanding/full amounts are paid in full prior to the day/night of the function. Should cash be your preferred method of payment, please ensure this is given to the DJ prior to the function. KZN Wedding DJ reserve the right to cancel your booking if any outstanding amounts are not paid in full prior to your booking date.
• The client is required to sign the acceptance form. Should this form not be signed, but services in any way are rendered by the DJ, or any money is paid to the DJ it is deemed that the client is in agreement with these terms and conditions as here set, and an agreement is binding as if the client had physically signed the acceptance form.
PHOTOBOOTH
A Booking Fee is required to book and secure a date.
In the event of any cancellation for whatsoever reason, your booking fee paid is non-refundable.
The client is required to sign and return the packages and booking form. Should this form not be signed, but services in any way are rendered by The Provider, or any money is paid to The Provider, it is deemed that the client is in agreement with these terms and conditions as here set, and an agreement is binding as if the client had physically signed the acceptance form.
If your event has been paid for in Full, and is cancelled for whatsoever reason. Your booking fee remains non-refundable.

COMPETITIONS:
Competition Vouchers can only be used with any 3 hour or more Printing or hashtag Package.
Discount only applies to local venues.

Only ONE (1) voucher can be used per booking, per date
We require an area of approx 3m x 3m in order to set up our booth. A power point is required for us to connect our booth & printer etc. Please arrange this with your venue.
Your Instabooth booking with only be considered confirmed once a Booking Fee has been paid and has cleared in our account. The balance is due 7 working days prior to your booking date.
Idle hour fees are applicable and will be added to the final invoice should you wish for us to set up prior to the hours you have selected in any of our packages.
We offer “FREE” travel to certain venues when booking any 3 hour or more Printing or hashtag Package along with a Wedding Ceremony & Reception DJ Package
Hashtag Printing requires a live internet connection, please ensure that there is sufficient cellular reception at your venue before choosing the Hashtag Printing Package. We cannot be held responsible for lack of service due to insufficient cellular reception.
Should a member attending the function or anyone, directly or indirectly, associated with the function, damage with or without intent, the Instabooth, Printer or Props, the client will be liable for the cost of these repairs or replacement.
Should your booking fall between 18:00 & 22:00 for a minimum of 3 hours, dinner should be provided for the Operator & assistant.
COMPETITIONS
Competitions held by/on-behalf of KZN Wedding DJ are drawn randomly via “random Number Generators” or “Lucky Draw. The Judges decision is Final. Prizes not collected with 30 days from date of draw will be re-drawn and awarded to another Winner. Winners are required to collect their Prize from the Offices of “KZN Wedding DJ” or wherever stipulated by the competition rules. It is mandatory to have your photo taken & published for marketing purposes. Full Terms & Conditions are available on request – its the entrants responsibility to request these.
For the day
Please, could you or your banqueting manager ensure that there is a solid, Standard, sturdy 2m trestle table with tablecloth prepared for the equipment so that the entertainer may set up beforehand.
Please discuss seating & catering requirements with him/her as well – A meal as served to guests is to be supplied for the DJ and an Assistant It is a good idea to have all service providers (DJ/musician, photographer, videographer) seated at a table closest to the DJs table or dance floor. Please note that the table the DJ is to operate off of, should be right near the dance floor so that he/she can better interact with the crowd.
